POSITION OPENING — Finance and Operations Assistant
The Charlevoix County Community Foundation (C3F) seeks a warm, genuine, responsible person to join our team of six kind, committed, and supportive individuals.
POSITION DESCRIPTION – Finance and Operations Assistant
The Community Foundation’s Finance and Operations Assistant position will be a good fit for a detail oriented, tech-savvy professional with accounting experience, strong organizational skills, initiative, and a sense of ownership for their work who enjoys working with a team of caring individuals toward the common goal of strengthening our community.
Finance and Operations
- Assist with accounts payable and accounts receivable, including data entry and processing.
- Maintain accurate financial records and filing systems.
- Support monthly, quarterly, and annual finance reporting processes.
- Assist with bank reconciliations and monitoring cash flow.
- Prepare and process journal entries as directed.
- Provide administrative support for audits and compliance requirements.
- Complete bank deposits.
Data Systems and Development Support
- Database management activities, such as creating and updating funds, profiles for donors, partners, and volunteers; using the database to produce letters, reports, and mailing lists.
- Process donations and complete gift entry and acknowledgement processes.
- Collaborate with the Development Team to support alignment of gift processing and development goals for effective donor engagement and stewardship.
- Maintain required documentation and record-keeping in compliance with record retention policies, including supporting the transition to electronic records.
- Perform regular data audits and duplication cleaning, supporting strong data integrity across the organization.
Grantmaking (General)
- Process donor advised fund grant awards, letters, and payments.
- Support designated fund grant awards, letters, and stewardship as needed.
- Support organizational fund grant awards as needed.
Office Management
- Maintain and coordinate office supply inventory, including equipment needs.
- Schedule facility maintenance and improvements.
- Assist all staff with operating system and IT related issues.

Following the application deadline, staff will read the cover letters and resumes to determine best fit for the position using an evaluation tool designed around the position description. The top candidates may be asked to complete a short application including references. Phone interviews may be offered the week of July 20, 2026, and in-person interviews will be held the week of July 27, 2026, in East Jordan.
Interviews will be in person and will be less than 1 hour. Interview questions will be provided ahead of time by email. If necessary, we will ask the top candidates to join us for a second interview scheduled for the week of August 3, 2026.
At each stage of the process, we will notify candidates in a timely manner when we have decided not to move further with their application.
The proposed starting date for the position is September 2026.

Community foundations are unique to the communities they serve. Our office is located in East Jordan, a quick walk to the South Arm of Lake Charlevoix. THE ORGANIZATION
The Charlevoix County Community Foundation (C3F) envisions vibrant communities where everyone can thrive. Our core focus is to connect inspired donors and dedicated community organizations to enhance the quality of life for all in Charlevoix County, now and for generations to come. We grow charitable resources, make grants to support a variety of programs and projects, and work in partnership with others to address local issues. We pursue continuous improvement and meaningful outcomes with the following values: we aim to be trustworthy, sincere, engaged, inclusive, and intentional in all we do.
Started in 1992 by a group of local leaders in response to a challenge from the W. K. Kellogg Foundation, C3F has experienced strong growth and has immense potential to make a difference in our community. We work with donors, nonprofit partners, cities and townships, schools, and volunteers to support our community.
A 15-member Board of Trustees representing geographic areas of the County provides guidance and oversight. Advisory committees from Beaver Island, Boyne City, Charlevoix, and East Jordan assist in identifying community needs and make grant recommendations from geographic field-of-interest funds. The Environment and Land Use Advisory Committee and Arts and Culture Committee evaluate requests and make grant recommendations related to those areas of community life. The Youth Advisory Committee is made up of 16 local teens who learn about giving back to their communities by making grants to support our area’s young people. Scholarship reviewers provide input to make awards for students pursuing continuing education. Staff and volunteers engage in the community to inform our work.
C3F is a member of the Council of Michigan Foundations and is accredited by National Standards for U.S. Community Foundations. Regionally, C3F maintains a close working relationship with other community, family, and corporate foundations.
